This Refund, Cancellation & Chargeback Policy (“Policy”) applies to transactions initiated through PayCR, operated by Mediwin Laboratories Next Private Limited (“PayCR”, “we”, “us” or “our”).

This Policy should be read together with PayCR’s Terms & Conditions and Privacy Policy.

1. General Principle

PayCR facilitates business payments through banks, payment aggregators, payment gateways, escrow or banking arrangements, payout providers and other Service Providers.

Once a Transaction has been validly initiated and submitted for processing, it may not be cancellable or reversible as a matter of right.

Refund eligibility depends on the actual Transaction status, availability or recovery of the relevant funds, applicable banking and Service Provider rules, and applicable law.

2. Cancellation Before Processing

Where a Transaction has not yet been submitted, authorised, captured or otherwise processed through the applicable payment infrastructure, cancellation may be permitted where technically available.

Once processing has commenced, PayCR cannot guarantee cancellation.

3. Failed Transaction Where Payer Is Debited but Payee Is Not Paid

Where the Payer’s Payment Instrument has been successfully debited but the Transaction fails and no payout is made to the intended Payee:

  1. PayCR shall facilitate refund of the Transaction Amount once the corresponding funds are received or made available for refund under the applicable Settlement Arrangement;
  2. any Platform Fee charged and retained by PayCR for that failed Transaction shall also be refunded; and
  3. payment-processing, acquiring, banking, card-network or other third-party charges shall be refunded only to the extent such amounts are actually reversed, refunded or recovered from the applicable Service Provider.

4. Payout Failure

Where payment collection is successful but payout to the intended Payee fails, PayCR may:

  • re-attempt payout where permitted;
  • request correction or verification of beneficiary information;
  • hold the Transaction for review; or
  • facilitate refund of the Transaction Amount once the relevant funds are returned or made available for refund under the applicable Settlement Arrangement.

The applicable course of action may depend on the reason for the payout failure and Service Provider requirements.

5. Duplicate Debit or Duplicate Transaction

Where the Payer is charged more than once for the same Transaction due to a verified technical or processing error, the duplicate amount shall be eligible for refund after verification.

PayCR may require the User to provide the Transaction ID, payment reference, bank or card statement, debit confirmation or other evidence reasonably required to investigate the duplicate charge.

6. Successfully Paid Transactions

A Transaction successfully processed and paid to the intended Payee is ordinarily final and non-refundable.

PayCR is not required to refund or reverse a successfully completed Transaction merely because:

  • the Payer subsequently changes its mind;
  • goods are returned;
  • goods or services are disputed;
  • there is a disagreement regarding quality, quantity, pricing, delivery or non-delivery;
  • a credit note, debit note, scheme or discount dispute arises;
  • there is a ledger or reconciliation disagreement;
  • there is a GST, tax or accounting dispute; or
  • another commercial dispute arises between Payer and Payee.

Such matters must ordinarily be resolved directly between the Payer and Payee.

7. Incorrect Payee or Bank Details

The User is responsible for entering, selecting and confirming correct Payee/Beneficiary details.

Where a Transaction is successfully processed to an incorrect bank account because the User supplied, selected or confirmed incorrect information, PayCR shall not be obligated to refund or reverse the Transaction except where:

  • required by applicable law; or
  • the funds are actually recovered and made available for refund.

PayCR may assist with recovery efforts where reasonably possible but does not guarantee recovery of funds already credited to an incorrect account.

8. Refund of Platform Fee and Third-Party Charges

For an eligible failed Transaction where no payout has been made:

  • the Transaction Amount shall be refunded subject to availability of funds under the applicable Settlement Arrangement;
  • the Platform Fee actually charged and retained by PayCR shall be refunded; and
  • third-party payment-processing, acquiring, banking, card-network or other Service Provider charges shall be refundable only to the extent actually reversed, refunded or recovered from the applicable Service Provider.

Where a Transaction has been successfully completed and paid out, PayCR’s Platform Fee and applicable third-party charges are ordinarily non-refundable unless otherwise required by law or expressly agreed by PayCR.

9. Refund Method

Eligible refunds will ordinarily be processed back to the original Payment Instrument or through another legally permitted payment method or banking route, depending on the original payment method, Service Provider requirements and the applicable Settlement Arrangement.

PayCR may not be able to process a refund to a bank account, card or Payment Instrument different from the one permitted under the relevant payment-provider rules.

10. Refund Timelines

Eligible refunds will be initiated by PayCR after the relevant funds are received or made available for refund under the applicable Settlement Arrangement.

The time taken for a refund to reflect in the Payer’s account may depend on the Payer’s bank, card issuer, payment provider, card network or other Service Provider.

Any refund timeline displayed or communicated by PayCR is indicative unless expressly stated otherwise.

11. Reporting a Transaction Issue

Users should report any Transaction-related discrepancy, failed payment, duplicate debit, incorrect status, suspected unauthorised Transaction or refund request to PayCR within 24 hours of initiation of the Transaction to facilitate timely investigation.

The 24-hour reporting period is an operational reporting requirement and does not exclude any statutory right that cannot lawfully be waived or restricted.

PayCR may request information including:

  • Transaction ID;
  • payment reference;
  • amount and date;
  • bank or card statement;
  • debit confirmation;
  • Payee details;
  • screenshots;
  • Business Reference; or
  • other supporting documents reasonably required for investigation.

12. Chargebacks and Unauthorised Transactions

Where a chargeback, fraud report or unauthorised-transaction claim is raised, PayCR may:

  • hold or defer payout;
  • restrict the relevant Transaction or account;
  • request supporting documentation;
  • cooperate with the acquiring bank, issuing bank, card network, payment provider or competent authority; and
  • take such other action as reasonably required under applicable law or Service Provider rules.

Any chargeback or reversal shall ultimately remain subject to the applicable bank, card-network and Service Provider process.

Where a Transaction Amount has already been paid to the Payee, PayCR may not be able to independently reverse or refund that amount unless the funds are recovered or otherwise made available for refund.

13. Suspicious, Prohibited or Non-Compliant Transactions

PayCR may hold, decline, reject, refund, reverse where technically possible, defer payout or restrict a Transaction where:

  • fraud or misuse is suspected;
  • the Transaction appears to involve self-financing or circular routing;
  • information or documentation appears false or misleading;
  • KYC/KYB or beneficiary verification is incomplete;
  • the underlying Business Reference cannot be verified;
  • the Transaction violates PayCR’s Terms & Conditions;
  • a Service Provider requires such action; or
  • a bank, regulator, court, law-enforcement agency or other competent authority requires or requests such action.

Any refund in such circumstances will depend upon the Transaction status, availability of funds, applicable law and Service Provider requirements.

14. Processing Errors

Where PayCR identifies a processing error, PayCR may take reasonable steps to correct the error, including adjusting records, coordinating with Service Providers, reprocessing a payout or facilitating refund where appropriate.

If an excess amount is mistakenly credited to a Payee, PayCR may request repayment or recovery of the excess amount.

15. No Refund for Underlying Commercial Disputes

PayCR is not a party to the underlying sale, supply, delivery or commercial arrangement between Payer and Payee.

Accordingly, PayCR shall not ordinarily provide a refund merely because of a dispute concerning:

  • product quality;
  • short supply;
  • non-delivery or delayed delivery;
  • expiry or breakage;
  • pricing;
  • schemes or discounts;
  • credit period;
  • warranty;
  • GST or taxation;
  • debit or credit notes;
  • ledger mismatch; or
  • deficiency in goods or services.

Such disputes should be resolved directly between the relevant businesses.

16. Service Provider Dependency

Refunds, reversals, chargebacks and payout corrections may depend upon systems and processes operated by banks, payment aggregators, payment gateways, card issuers, card networks, escrow providers, payout providers and other Service Providers.

PayCR shall not be responsible for delays attributable solely to such Service Providers except to the extent liability cannot lawfully be excluded.

17. Changes to this Policy

PayCR may modify this Policy from time to time to reflect changes in its Services, payment infrastructure, banking or Service Provider arrangements, applicable law, regulatory requirements or operational processes.

The updated Policy will be published on the PayCR website or otherwise communicated through a reasonable electronic method.
